Job Summary
We are seeking a highly organized and detail-oriented Secretary to join our team. The ideal candidate will be the first point of contact for our clients and visitors, providing exceptional customer service and administrative support. This role requires proficiency in managing front desk operations, handling multi-line phone systems, and performing various clerical tasks to ensure the smooth functioning of our office.

Responsibilities

  • Greet and assist visitors in a friendly and professional manner.
  • Manage incoming calls using multi-line phone systems, directing calls to appropriate personnel.
  • Maintain an organized front desk area, ensuring it is welcoming and presentable.
  • Perform data entry, filing, and document management to keep records up-to-date.
  • Provide customer and employee support by addressing inquiries and resolving issues promptly.
  • Proofread documents for accuracy and clarity before distribution.
  • Support office management activities, including ordering supplies and maintaining inventory.
  • Collaborate with team members to improve office processes and enhance efficiency.

Experience

  • Previous experience in a receptionist or administrative role is preferred.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace is essential.
  • Strong organizational skills with the ability to manage multiple tasks effectively.
  • Excellent phone etiquette and customer service skills are required.
